How to get Zoom webinar reports
According to a recent report, 95% of webinar organizers believe detailed reports are essential for improving future events and getting better results. As webinars become more popular—growing by over 20% each year—having good reporting tools is crucial for making the most impact.
Additionally, tracking these details helps assess how well marketing strategies are working and measure return on investment (ROI). By looking at trends and patterns, hosts can adjust their approach, improve content delivery, and make the event experience better.
In short, generating detailed webinar reports is about using data to make future online events more engaging and successful.
Requirements for generating reports
- You need to be a Pro, Business, Enterprise, Education, or API account
- Account owner or admin must have permission to access Usage Reports for all users
- Account owner or user with a custom role with access to view User Activities Reports
Report Types For Members
There are several reports you’ll get after the meetings, For easy to understanding these reports are categorized into three parts:
Usage: You’ll find here the list of meetings, participants, and meeting duration of the meetings.
Meetings: In this option, You can search for registration reports and poll reports for a meeting.
- Select the type of report you want to download or generate.
- Search by a date range.
- Then click on generate.
- It will be ready in the report Queue tab.
- You can also click Delete to cancel processing the report.
Webinar: In the webinar report, You can search for registration, Attendee, Performance, Q&A, and Poll Reports for webinars.
- Select the type of report you want to download or generate.
- Search by a date range to find the webinar.
- Then click on generate.
Note: For members, It is mandatory to have a webinar license assigned to your profile to access the webinar reports. Admins do not require any license to access any webinar reports. Learn to enabling poll in zoom.
How to Generate Webinar Reports
1. Sign in with your Zoom credential.
2. Go to the navigation menu, Scroll down, and click on Reports.
- If you are an admin or account owner, or have access to the Usage Report role, you will need to select Account Management first and then Reports.
Note: If you are an account member and want to access the reports part of the Zoom Phone Power Pack, Then tap on Analytics & Reports.
Click the type of report that you want to generate. You can also go to the User Activity Reports tab to view additional types of reports (only accessible to the account owner by default).
3. Tab on Webinar option.
4. Now Select the Report Type.
(You can also search for the report type that you want to generate including Attendee, Performance, Q&A, Poll, and Survey reports are available after the webinar has ended)
5. Select the date range for the webinar and click Filter, or Also you can search by Webinar ID number and tap on Search.
6. Choose the webinar, then tap on Generate CSV Report.
7. Congratulations..!! You’re Done. (Your report is ready).
Note: It will take a while to process, After generating the report. It will automatically download as well as open in Excel, Notepad, or any alternative app with CSV format.
Report Types For Account Management
Usage Reports tab
1. Daily: This report shows how the account was used daily for a month. It includes the number of new users, meetings, participants, and total meeting minutes. It covers every meeting hosted by any user in the account.
2. Active Hosts: This report shows all the active meetings and users during a specific period, up to one month.
An active meeting is one that started during the specified time range, and an active user is someone who hosted at least one meeting in this period. This report is similar to the Usage report for individual users, but it includes all meetings on the account.
Click the number in the Participants Source column to see a list of participants. External participants are marked as “Guest” next to their names.
3. Inactive Hosts: This report displays a list of users who did not host a webinar or meeting during a specific period.
4. Upcoming Events: It shows a list of all upcoming webinars or meetings (recurring meetings and webinars as well) for the selected specific period. you can also search with the host’s email address and name. Click on the check box to add an event with no fixed time.
5. Zoom Events: You can see the usage of your Zoom events license plans.
6. Meeting: In this report, You can search for registration reports and poll reports for a meeting hosted by a user on the account.
(Note: If a meeting ends or the batch is deleted by Zoom, all related reports will remain available for 15 months except the registration report)
7. Webinar: In this report, You can search for registration, Attendee, Performance, Q&A, and Poll Reports for webinars.
Note: When the webinar ends or the batch is deleted by Zoom, all related reports will remain available for 15 months.
Remember you webinar license should not be expired, But admins can access webinar reports for the account without a license.
8. Audio Conferencing: In this report, you to see information and charges related to dial-in usage.
9. Interpretation: This report allows you to see and export how much the translated captions feature was (measured in minutes) used. It also shows how often language and sign language interpretation were used.
10. Cloud Recording: In this report, You can search by date range to see the use of cloud recording for a specific period. It shows which meetings were recorded and what files were created. It doesn’t show daily cloud storage usage but the total amount of storage used.
- For example, if your account had 20 GB of cloud recordings and you added another 1 GB, the cloud recording report would show a total of 21 GB.
Note: Cloud recording reports are only available for up to 6 months. If you have a Master Account as a Reseller or Distributor, account owners, and admins can extend the reporting range to up to 1 year and create reports for multiple sub-accounts.
11. Phone System: It allows you to view Zoom phone usage reports.
Contact Center: It allows you to view the Contact Centre in a time range.
12. Remote Support: This report shows how the remote support feature was used during the specified period. It includes the meeting ID, who gave remote support, and who received it.
13. Billing: Admins can use this to create Billing reports for a specific time and get detailed breakdowns of department usage. This feature needs to be turned on by the Billing team. After you contact them, it may take up to 3 business days for the feature to be activated.
14. Delete Participant’s Personal Data: You can remove personal data (Including username, email address, registration info, and IP address) from your account If any participants request to remove their personal information. Enter the email addresses of the participants and click on submit.
Note: Once you delete the user’s information you can’t retrieve it.
User Activity Reports tab
1. Admin Activity Logs: This allows you to check admin activity, including changes to Account and Group settings, user roles and licenses, Billing subscriptions, and SSO setup. It tracks updates made by your SSO and SAML settings as well.
2. Settings Snapshot: In this report, Admins can export a list of all settings and their current configuration as a CSV file. It will be very helpful during account migrations or for any changes. To avail of this feature you must be enabled by Zoom.
3. Sign In/Sign Out: This report allows you to view who signed in or out, their IP address, what platform they were using as well as their version number if applicable.
4. Chat History: You can view and download all messages sent and received by participants (including chat messages, files, images, emoji reactions, GIFs, audio messages, and code snippets) that are in 1-on-1, group, or channel chats.
5. Legal Hold for Team Chat: You can generate and view legal holds on specific individuals or participants for regulatory and compliance purposes.
6. Phone System Operation Logs: You can audit admin and user activity specific to Zoom Phone setup, like adding new users, assigning calling plans, and changing policies.
7. Contact Center Operation Logs: This report allows you to audit admin and user activity specific to Contact Center configuration, such as adding new users and changing policies.
8. Disclaimers: You can see information about disclaimers regarding when users sign in, join meetings/webinars, or start recordings. This report will display the user’s email ID, disclaimer type if they agreed or denied the disclaimer, their client type, date/time, and the meeting ID.
9. Reported Participants: This allows you to view the participants of meetings or webinars that you’ve reported to Zoom. You can also send more reports to Zoom if needed.
10. Attendee Log: You can view Internal and external meetings attended.
11. Requests of accessing content: Shows the pending, approved, and denied requests of accessing your Zoom content.
